Craft Better Books Writers' Retreat Terms and Conditions

Effective Date: February 1, 2024

1. Terms of Agreement

(a) These terms of agreement are initiated by booking and attending a retreat with Craft Better Books and govern Craft Better Book’s relationship with you in relation to the retreat. 

(b) The terms "Craft Better Books", "the Coaches", "us", and "we" refer to the company Katie Wall Book Coach, LLC. The terms "you", "your", and "guest" refer to the registered individual. The term "retreat" refers to all aspects of the services on offer, to include, but not be limited to, the classes, accommodation, and activities.

2. Booking Procedure

(a) On making a booking with us, each guest accepts the terms of these terms and conditions.

(b) Completing the registration form alone does not guarantee a spot at the retreat. Your spot is only guaranteed once you pay in full or initiate a payment plan.

(c) If making your booking within 6 weeks of the retreat start date, the full balance will be due upon registration.

3. Payment

(a) Payment may be rendered by debit card, credit card, bank transfer, or PayPal.

(b) If you opt to use a payment plan to pay in 4 installments, you will be billed monthly. It is your responsibility to ensure that you have adequate funds prior to the billing. If there is an error with your monthly payment, you will be notified and given 1 week to make the payment. If you are unable to submit payment after 1 week, you risk losing your spot at the retreat.

(c) Subject to clause 3(d), all payments are non-refundable. This includes processed, remaining, and full payments.

(d) You may request a refund if the retreat is fully booked and someone else can fill your space. A refund in this case will be minus a $200 USD administrative fee.

(e) We reserve the right to reduce the price of the retreat or run special offers at any time. Once you have made your booking and initiated your payment plan these price changes will not apply to you.

(f) Should country border closures prevent your attendance at the retreat, you will be offered the option of a full refund.

4. Cancellation Policy

(a) As stated in section 3(d) all payments are non-refundable. For this reason, we strongly recommend that you take out travel insurance to cover you in the event of any need to cancel at the last minute.

(b) In the unlikely event that the retreat is cancelled by Craft Better Books, there will be no refund or compensation available from us for your flight costs, transfers, and other associated costs. Please take out travel insurance.

(c) We reserve the right in any circumstances to cancel the retreat, in which case we will offer a refund in full of all monies paid.

(d) In some circumstances it may be possible to apply any payments made toward the retreat to another retreat or service. This will be determined on a case-by-case basis by discretion of Craft Better Books.

5. Changes to Retreat

(a) It is unlikely that we will have to make any changes to your retreat, but arrangements are made many months in advance and changes may have to be made. We reserve the right to, within reason, change any information advertised at any time, to include, but not be limited to: dates, times, timetable, location, accommodation, presenters, and prices.

(b) We will advise you of any changes at the earliest possible date.

6. Surcharges

(a) Unless stated otherwise, transportation costs are not included in the price of the retreat. These costs include, but may not be limited to: flights, transfers, and taxis.

(b) If you are unable to arrive at the airport within the pick-up window and an additional trip from the retreat location to the airport needs to be made for you, you will be charged an additional $75 fee to cover the cost of gas.

7. Health

(a) It is the guest's responsibility to inform the Coaches of any injury/medical conditions when booking. It is advisable that you consult a doctor or physician before attending the retreat to ensure you are sufficiently fit and healthy to travel.

(b) If you experience any injury during the retreat, you must stop your present activity immediately and advise the Coaches accordingly.

(c) We hold no responsibility for illness, injury, death or loss, or damage to personal belongings at any time (as per the liability waiver in section 8), nor will any compensation be issued in such case.

(d) We reserve the right to stop your participation in any activity, at any time, if we conclude that you are physically, mentally or emotionally unable to do so.

(e) It is your responsibility to advise us of any food intolerances or allergies prior to the retreat. Craft Better Books will not be liable for any accident or injury related to guest's consumption of any food provided at the retreat, including that provided by Craft Better Books, another guest, or any other source.

8. Liability Waiver

(a) It is an essential requirement of each guest attending a retreat with Craft Better Books to accept and abide by the following release of liability:
"I understand that, while the utmost care is taken, neither the individual Coaches, Craft Better Books, nor the venue will be liable for any damage or injury resulting from use of the retreat venue, nor any loss or damage to personal belongings. I agree that neither I, my heirs, assigns, nor legal representatives will sue or make any other claims of any kind whatsoever against Craft Better Books, its Coaches, or its members for any injury, property loss, or wrongful death, whether caused by negligence or otherwise."

(b) The release of liability statement applies to the duration of the retreat. The duration of the retreat is defined as from the time of airport pickup to the time of airport drop-off.

(c) Optional trips and treatments booked locally are not our responsibility and are at your own risk and cost.

9. Right to Refuse

(a) We reserve the right to dismiss participants from or refuse entry to the retreat at the Coaches' discretion with no refund being issued in the event of breach of any of these terms and conditions, or disruptive behavior, threatening, or violent.

(b) Disruptive behavior is inappropriate behavior that negatively impacts the retreat experience, including but not limited to: yelling, entering into multiple conflicts with the Coaches or other guests, derogatory comments regarding the Coaches or other guests, harassment of any variety, overreaching entitlement, and any instances of overt disrespect. 

(c) Threatening behavior includes physical actions short of actual contact/injury (e.g., moving closer aggressively), general oral or written threats, and implicit threats.

(d) Violent behavior includes any physical assault, with or without weapons; behavior that a reasonable person would interpret as being potentially violent (e.g. throwing things), or specific threats to inflict physical harm. 

10. Privacy Policy

(a) We will not pass on your information to any third party or outside organization without your permission. We respect your privacy.

11. Passport and Visa Requirements

(a) If you are traveling from outside of the United States, you are responsible for ensuring that you have a valid passport with sufficient expiry date remaining and any necessary visas or required inoculations or other health requirements.

12. Complaints

(a) If you have a problem during the retreat, please inform one of the Coaches immediately, who will endeavor to put things right. Please note that we cannot guarantee the proportion of male/female in any group, nor be responsible for the individual behavior of any group member or other guest on your retreat.
